The Faculty of Sciences of the University of Lisbon (CIENCIAS ULisboa) is currently under- ˆ
taking an initiative to dematerialize its processes in order to enhance the quality and efficiency of
the services provided to students, faculty, researchers, and non-research staff. To pursue these objectives, CIENCIAS ULisboa will need to select a Business Process Management System (BPMS). ˆ
This project assesses the suitability of a low-code, open-source, and extensible platform called
Bonita. The evaluation was conducted through the modeling and implementation of two workflows
on the platform. The adopted methodology involves four steps: i) requirement gathering; ii)
analysis and conversion of these requirements into a graphical model; iii) implementation of the
process on the platform; and iv) evaluation of the process through user testing.
The first process implemented was the Protocol Signature Process, which encompasses establishing the terms of a specific collaboration between CIENCIAS ULisboa and another entity ˆ
and signing the protocol that describes these terms. The second process implemented was the
Research Fellowships Process of FCiencias.ID ˆ , which enables the administrative management of
applications related to scholarship competitions.
The use of Bonita allowed for the implementation of a solution with the main functionalities
identified during the requirement gathering phase, meeting all criteria. However, limitations were
encountered, some of which are inherent to the version of the platform used (Community). The
greatest difficulty was the verification and validation of the implemented modeling. Additionally,
there were challenges in maintaining the processes when it became necessary to correct or add
functionalities, especially when this involved reformulating a large number of forms that comprise
the process.
Despite the challenges faced, this work shows that Bonita can be considered a viable solution
in well-defined case studies. In more complex situations, the work recommends adopting the
principles defined by agile methodologies as a way to mitigate the encountered limitations.
